Create and send campaigns to participants

Campaigns are messages sent to a defined audience of participants, either immediately or on a schedule.

A campaign is a single send — or scheduled send — of a message to a group of participants in your project. You choose who receives it, what it says, and when it goes out. Campaigns cover one-off announcements, deadline reminders, match and schedule updates, and more.

Before you start: set up an audience

Campaigns send to an audience that already exists — you pick it from a list rather than defining it while creating the campaign. If you don't have one yet, go to Communication → Audiences first and create one. Audiences can target project members, tournament participants, match participants, report participants, officiating assignments, a custom segment built from criteria groups, an ad hoc list of recipients, or specific user IDs. Each audience shows a live eligibility estimate (candidates, eligible recipients, blocked recipients) so you can confirm it reaches who you expect before using it in a campaign.

Step by step

The campaign wizard has three steps: Content, Audience, and Schedule.

  1. Go to Communication → Campaigns and click Create campaign.
  2. Content. Enter a campaign name and choose a campaign type (see Campaign types below). Then compose the message:
    • Delivery channels — select at least one of Email, Push, or In-App. This is required before you can continue.
    • Template (optional) — pick a saved template from Communication → Templates to prefill the subject and body.
    • Subject and body — write or edit the message content directly.
    • Preview — use the preview toggle to see how the subject and body will look to recipients before you move on.
    • Add variant (optional) — after selecting a saved template, create an additional subject/body variant of that message for A/B testing.
  3. Audience. Select one of your existing audiences from the dropdown. The eligibility estimate for that audience is shown so you can confirm reach before continuing. If you need a different audience, create it on the Communication → Audiences page first.
  4. Schedule. Choose Send now or Schedule for a specific date and time.
  5. Click Send (or Schedule) to confirm.

Campaign types

Use the appropriate campaign type for your situation:

  • Announcement — inform participants of an important update, such as a schedule change or rule update.
  • Reminder — remind participants about an upcoming deadline, such as check-in, match time, or registration closing.
  • Incident update — notify participants about an incident affecting the tournament.
  • Match update — notify participants about a match, such as results or a status change.
  • Schedule update — notify participants of a change to the tournament schedule.
  • Marketing — send promotional or informational content to your audience.
  • Workflow — send a message as part of an automated communication workflow.

What happens next

After a campaign is created, it moves through a delivery lifecycle: draft → validating → scheduled → queued → sending → completed. A campaign can also end up paused, failed, cancelled, or archived. You can track this from:

  • Communication → Campaigns — see each campaign's current status at a glance.
  • Communication → Runs → [Campaign] — view aggregate delivery and open statistics for a specific send.
  • Communication → Receipts — check delivery status for individual recipients.
  • If a campaign is scheduled and has not yet sent, you can cancel it from the Campaigns list.
