Manage Registrations
Review, approve, and reject player and team registrations for your tournament.
When registration is open, players and teams submit registration requests. If the tournament requires an entry fee, a submitted registration first sits in a Pending Payment state until the participant completes payment — it isn't eligible for review until then. Once payment (if required) clears, the registration lands in the Registrations list with a status of Pending, and you review each one and either approve or reject it. Approved registrations become entries in the Participants list.
If the tournament requires a linked and verified game account (or platform identity verification), that requirement is checked when you approve a registration — if the participant hasn't met it yet, the approval is blocked with an error until they do, so some Pending entries may need the participant to take action before you can move them forward.
Where to find it
The Registration Management card lives on the tournament's Overview page: Projects → [Project] → Tournaments → [Tournament] → Overview. It has five tabs — Overview, Registrations, Waitlist, Custom Fields, and Settings — all in this one card. There's no separate "Registrations" item in the main sidebar; the sidebar's Participants section is a different, read-only view (Pending / Waitlisted / All / Teams) with no approve or reject actions.
Step by step
- Open the Registrations tab and filter the list by status — All, Pending, Approved, Rejected, or Cancelled — to focus on the entries that need action. Use the search box to find a registrant by name or email.
- Each row shows the registrant's name, email, type (individual or team), status, and registration date.
- To approve a registration, click the Approve icon next to it (shown only while the registration is Pending). The participant appears in the Participants list right away.
- To reject a registration, click the Reject icon next to it. A Reject Registration dialog opens asking you to enter a reason — this field is required, and the reject button stays disabled until you fill it in.
- To skip manual review entirely, enable Auto-approve registrations in the card's Settings tab. Registrations are approved immediately on submission instead of waiting in Pending.
There's currently no way to select multiple registrations and act on them at once — approve or reject entries one at a time. (A bulk-update action exists on the backend but isn't wired to a control in this list yet.)
Waitlist
If you've turned on the Waitlist option in registration settings, new sign-ups received while the tournament is at capacity are placed on a waitlist instead of being blocked. Without that option enabled, registrations past capacity are not automatically queued. Open the Waitlist tab to see waitlisted entrants and promote them into the active roster as spots open up, either one at a time or in a batch.
The same queue can also pick up entrants after the fact: for knockout-format tournaments where the number of approved entrants doesn't divide evenly for bracket seeding, the lowest-seeded surplus entrants are held back on the reserve bench rather than given a bye, and can be promoted from this same tab if a slot frees up later.
What happens next
- Run check-in before your event starts to confirm which approved participants will actually show up.
- Use export to download the full participant list for production staff or external tools.
- Adjust registration rules, eligibility requirements, and the waitlist toggle in registration settings.
